A classroom that works well for group teaching may not automatically suit a formal assessment. The difference can involve layout, access, equipment and administration under the applicable requirements. A school that assumes any spare room will do may discover the gap late, when students and assessment personnel have already organised their schedules around the event.

Define the actual use

The facilities brief should identify the assessment activity and the relevant requirements through the appropriate authority or provider. This allows the school to distinguish necessary arrangements from convenient preferences. It also prevents a room investment from being based on a generic idea of an examination space that does not fit the programme's real assessment needs.

Protect preparation time

The room may need work before and after the session. Those periods should appear in the calendar rather than be treated as invisible gaps between bookings. If the space is also used for teaching, the school needs a realistic transition plan so that one activity does not repeatedly begin with the room configured for another purpose.

Coordinate administrative readiness

Facilities are only one part of the event. Relevant records, communications and authorised personnel must also be ready. Assigning a coordinator helps connect these elements and gives participants a clear contact for questions, reducing the risk that several individually complete preparations fail to come together at the time the assessment is scheduled to begin.

Evaluate dependable availability

The business case should consider how reliably the school can provide the required environment. A dedicated room may be appropriate in some settings; carefully managed shared space may work in others. The worthwhile choice supports the assessment programme consistently, with costs and constraints understood before increased student numbers create a queue that the existing arrangement cannot accommodate.
