Physical security and accounting control are often discussed separately. A gold-related operation benefits when the two describe the same material movements, allowing the business to identify an unexplained difference without depending solely on surveillance or individual trust.
Define custody transitions
The operating record should identify where responsibility changes between teams or service providers. Each transition needs an appropriate acknowledgement of what was transferred and under which conditions. The level of detail should reflect the process and professional advice, but the underlying aim is straightforward: responsibility should remain identifiable as material moves through the business.
Review independent records
Production information, physical counts and commercial dispatch records should be capable of comparison. If every report derives from one unexamined entry, apparent agreement offers limited assurance. The owner should understand where genuinely separate observations exist and how discrepancies are investigated. This is an organisational question as much as a technology purchase.
Protect the people involved
Controls should be clearly communicated and consistently applied. Ambiguous expectations can expose employees to unfair suspicion when records do not reconcile. Training, appropriate supervision and a fair investigation process help distinguish administrative mistakes, measurement uncertainty and more serious concerns. The business needs a disciplined response rather than a culture in which every difference becomes an accusation.
Make assurance practical
A review should test whether ordinary staff can follow the required process during busy periods and shift changes. Complicated procedures that routinely require informal workarounds can weaken the intended protection. For an investor, the strongest signal is a coherent custody account supported by competent oversight. Expensive security equipment alone cannot explain where responsibility sat when a material movement occurred or a record changed.
