In a business, the person selecting a service may not control the budget or payment account. Forcing one person to perform every action creates workarounds, shared credentials and incomplete records. An enterprise-facing ALFA utility journey should accommodate the ordinary separation between someone preparing a purchase and someone authorised to commit company funds.

Preserve the prepared order

The employee can assemble the service, participant details and business purpose in a draft. An approver should receive that same draft rather than a bare payment request. This keeps the commercial context attached to the decision and avoids asking a finance colleague to approve an unfamiliar token amount with little explanation of what the business will receive.

Define approval scope

Approval might cover a maximum amount, a specific provider or a named participant. The system should record those boundaries. A material change after approval needs renewed consideration, while a harmless correction should not necessarily restart the process. The practical goal is to preserve the original authority without turning routine purchasing into a sequence of unnecessary administrative delays.

Hand payment to the right role

A payer should see which order has been approved and whether the instruction remains valid. The purchasing employee need not receive control of the payment account. This separation can protect both parties while giving the service provider a coherent reference. It also makes absence cover possible without requiring colleagues to exchange personal access credentials.

Return evidence to the business

Completion should notify the requester and provide the finance team with the appropriate invoice and payment record. The benefit is organisational: a digital service purchase can fit established accountability instead of demanding an exception. ALFA's enterprise utility becomes easier to evaluate when the customer can picture how its own staff would use it responsibly.
